When Should You Actually Start Planning? A Realistic Timeline for Any Celebration

Almost every host asks us the same first question: "Are we too early — or are we already behind?"

The honest answer is that a beautiful event is rarely about how much time you had. It's about what you did first. Venues, key vendors, and the design decisions that shape everything else all happen early — and they happen in an order. Here's the timeline we walk every client through, whether the celebration is a wedding, a bar or bat mitzvah, a milestone birthday, a corporate gathering, or a private party at home.

9–12 months out: the decisions everything else hangs on

  • Set the date and the guest count range. Not the final list — a range. Almost every cost and design choice flows from these two numbers.
  • Book the venue. The dates hosts want most go first, and the venue determines your layout, your rental needs, and often your caterer.
  • Set a real budget — and say it out loud. A budget you keep to yourself can't guide anyone. Decide what matters most to you (the room? the food? the music?) and let that lead.
  • Bring in your planner/designer. This is when planning support saves you the most: before contracts are signed, not after.

6–9 months out: build the team

  • Book your core vendors: caterer, photographer, music, and florist or décor. Good vendors book out far earlier than most hosts expect.
  • Choose the design direction. A palette, a feeling, a few anchor pieces. You don't need every detail — you need a direction every later choice can be measured against.
  • For milestone events — a bar or bat mitzvah theme, a significant birthday, a company celebration — this is when the concept gets locked, because it shapes invitations, signage, and the room itself.

3–6 months out: details become real

  • Order invitations and send them with enough lead time for your guests — earlier for events guests will travel to.
  • Plan the menu and the floor plan together. Food service and room layout affect each other; deciding them separately is how bottlenecks get built in.
  • Book the enhancements that transform a room: backdrops, lounge areas, custom signage, balloons. (Enhancements at Elegant Event Design start at $250 for custom signage, $500 for balloons, and $750 for lounge areas and backdrops.)

1–3 months out: confirm, don't reinvent

  • Finalize the guest count and walk the floor plan with real numbers.
  • Build the day-of timeline — load-in, setup, ceremony or program, meal service, and the moments in between. Share it with every vendor so the whole team is working from the same page.
  • Confirm every vendor in writing: arrival times, needs, and a day-of contact who is not the host.

The final week: hand it over

  • One last walk-through of the design and the timeline.
  • Pack and label anything personal that's coming with you — photos, favors, ceremonial items.
  • Then be a guest at your own event. Someone else should hold the timeline, greet the vendors, and solve the small problems quietly. That's what event-day management is for.

Starting late? Start here.

If your date is six weeks away, you're not behind — you're just on a shorter version of the same list. Book the venue and caterer first, simplify the design to a few high-impact choices, and get day-of help so the plan you made is the event that actually happens. Some of the most joyful events we've produced came together fast, because the hosts focused on what guests actually experience: a welcoming room, a smooth flow, and a host who was present for it.

What support costs — honestly

We price planning by the size of the celebration, so support matches the scope:

  • Planning & Design packages: Starting at $1,250 (Intimate, up to 50 guests) · Starting at $1,750 (Signature, 51–100) · Starting at $2,250 (Premier, 101–150) · Starting at $2,950 (Grand, 151–250) · Starting at $3,950 (Luxury, 251+ guests)

  • Event-Day Management: Starting at $750 (up to 6 hours) · Starting at $1,250 (6–10 hours) · Starting at $1,750 (full day, 10+ hours)

Every celebration is different — these are starting points, and we'll tailor the details to your event.
